NORTHPORT, NY Hours: By appointment — book a call

00 Contact — Northport, NY

When does your portal close, and who has the password?

Most calls start with the date. A surprising number end with someone finding the password on a sticky note in the boathouse.

Tell us the funder, the deadline, and the dollar amount. We’ll tell you which folder it needs, what it costs, and whether there is still time to do it properly. That conversation takes twenty minutes and costs nothing.

A Call
(631) 988-1482 Best when the deadline is under three weeks away. If we miss you, leave the funder’s name and the date in the message.
B Write
info@kelpwoodledger.com A reply within two business days. Attach the funding notice, not a summary of it.

01 Deadline check

How many days does your deadline actually leave?

Each folder needs a set number of calendar days before the portal closes. Put in your date and the table says which ones still fit — and the last day to start each.

Pick the closing date from the funding notice. The table below updates itself.

Lead time needed for each Kelpwood Ledger folder
Folder Lead time Price For your date
The Federal PackageNOAA, EPA, and other notices with forms whose names are mostly numbers. 45days $5,350 Waiting on a date
The Foundation ProposalCommunity and family foundations, 8–15 pages. 21days $2,640 Waiting on a date
Post-Award ReportThe interim or final report due in month eleven. 14days $760 Waiting on a date
The Letter of InquiryTwo pages that decide whether you write twenty. 10days $1,180 Waiting on a date
Compliance ReviewYou wrote it; we read it against the notice. 72 hours to read, 72 hours of margin. 6days $685 Waiting on a date

Calendar days, not business days. We still press Submit 72 hours before close, so the last three are spent waiting on purpose.

02 The call

Twenty minutes, accounted for.

The scoping call is free and it has an agenda. Here it is, so nobody spends minute eleven wondering when we’ll get to the price.

  1. 0:00 – 4:00

The funder, the date, the dollar amount

We read the notice while you talk. If you emailed the link ahead of time, we’ve read it already and will skip to the part about page caps.

  2. 4:00 – 9:00

The parts that sink projects early

UEI, SAM.gov status, cost match, indirect rate. None of it is interesting. All of it is checked before a reviewer ever sees your project.

  3. 9:00 – 15:00

Which folder, and what it costs

Federal Package, Foundation Proposal, or a Letter of Inquiry first. You hear the number on the call. It arrives in writing the next business day.

  4. 15:00 – 20:00

    Whether to bother this cycle

Sometimes the honest answer is next year’s round. We would rather say so at minute fifteen than in week five.

The phone at 18 Conifer Ct has a cord, so calls stay at the desk with the notes.

03 Before the call

Six tabs to have open when the phone rings.

None of them are required for the call. Each one you have open is one fewer email in week two.

  1. 03.1

    The funding notice itself

The PDF or the link to it. Not the funder’s newsletter about it, and not last year’s version — page caps change between cycles.

  2. 03.2

The deadline, with its time zone

11:59 p.m. Eastern and 5:00 p.m. Eastern are both common closing times. They are six hours and fifty-nine minutes apart.

  3. 03.3

    The ask, and the match

The amount you want and whether the notice requires a cost share. A 1:1 match on a $40,000 ask is a $40,000 conversation with your treasurer.

  4. 03.4

    Your UEI, or a shrug

If you have a Unique Entity ID and an active SAM.gov registration, read us the expiry date. If you don’t know, that’s the first thing we sort out. Both are free.

  5. 03.5

    The most recent 990

Or your audit. Funders ask for it, and we use it so the budget narrative agrees with what you already told the IRS.

  6. 03.6

    The name of whoever signs

The person authorized to submit on your organization’s behalf. Portals care who presses the final button. So do we.

04 The desk

Send the details. We answer with a folder and a price.

Replies come from info@kelpwoodledger.com within two business days. Under three weeks to the deadline? Call (631) 988-1482 instead — email is the slow lane.

Put it on the desk

Four fields matter: your name, your email, the funder, and the date. The rest helps us come to the call already knowing which folder it is.

We read every message at the desk ourselves. Your address goes into the reply field and nowhere else.
